Trouble with Outlook and GMail

Steve Matzura

Today I was called on to fix a problem with Outlook not being able to log into a Gmail account. Unfortunately, I neglected to check the version of Outlook, but knowing its owner, I'm sure it was 2019 or O365, and the Windows version is 21H2 build 22xx, I forget the exact number, but it's very current. The problem happens when Outlook tries to retrieve mail from the Gmail account. Google says Outlook can't log in because either the browser--there is no browser--or the app--app? Outlook?--is insecure. I spent a lot of time looking this up, and the recommendations are to set up two-factor authentication (2FA), which the user has already done; to wit, when he logs into his Google account with any browser, he gets a code sent to his phone which he then enters, and bingo, he gets right in. What can I do to fix his Outlook so he can log in and process mail messages?

TIA

I don't know what the problem is but you shouldn't have to use two factor authentication to log into the account with an e-mail program.

Exactly. That's what's so confusing here. Since when is Outlook unsecure? LOL

In newer version of Outlook, you need to do two step authentication  for gmail which a little browser will popup.

Do you only have to do that once or every time you open the browser and it wants to access the account?

moreWell, I can't tell you how often. but, I would say, 30 days or more. Just rekey the password and authenticate from there. I believe its how google  was setup at your end as well.
If gmail detect there's a change, it will prompt you for that.

I don't use app specific password and this method is much secure.
